Event planning often focuses on the guest experience – but what about the impact on the environment? Lets look at some effective ways to make your events more sustainable without compromising on quality or the guest experience.

Plan for Sustainable Travel Early

Travel often makes up a large part of an event’s carbon footprint, so consider it from the start. Choose venues near public transport, provide shuttle buses if needed, or partner with train operators for discounted fares. Making sustainable travel options easy and accessible encourages attendees to choose greener ways to get there.

Choose a Sustainable Venue
Choose venues with recognised green certifications like ECOsmart or ISO 14001 to ensure eco-friendly practices, with ECOsmart being a certification specifically for hotels and meeting venues. Look for places that prioritise energy efficiency, water conservation, waste reduction, and use of renewable energy. Also, check if they have good recycling and composting programs to match your event’s sustainability goals.

Choose Eco-Friendly Vendors and Suppliers

Work with vendors who prioritise sustainability – from using minimal packaging to offering plant-based, local, and seasonal food. Ask about their environmental practices and avoid those using non-recyclable materials. Choosing suppliers who share your sustainability values helps create a greener, more responsible event.

Eco-Conscious Decor and Signage
Choose decor that’s reusable, biodegradable, or repurposed to reduce waste. Renting items instead of buying new helps cut down on unnecessary production and storage. For signage, go for designs that can be updated and reused across multiple events – a small change that adds up over time.

Minimise Waste at Every Step

Avoid single-use plastics by offering reusable alternatives and water refill stations. Choose rental items over disposables, and provide clearly marked bins for recycling and general waste. Clear signage helps reduce contamination and improves recycling rates. A low-waste setup sends a message and significantly cuts your event’s environmental impact.

Prioritise hiring from the local community. It supports the local economy, reduces travel emissions, and adds a personal, authentic touch to your event. Hiring local helps you stay eco-friendly while also bringing in fresh, unique talent.

Go Digital When Possible

Reduce paper waste by replacing printed programs, tickets, and brochures with digital alternatives like apps, QR codes, or emails. Cutting back on physical signage and printed materials helps lower your event’s environmental footprint while keeping things efficient and modern.

Track and Measure Your Impact
Set clear sustainability goals before your event – like reducing waste or energy use,  and track progress using simple tools or checklists. Measure what worked (and what didn’t) to improve future events. Sharing your results also helps build transparency and shows that you truly care about making a difference to the environment.

Make sure you have the following ready to upload:

  • Legal/business registration proof
    Document showing the legal form and ownership of your business (e.g. certificate of incorporation or equivalent).
  • Business registration & tax ID
    Your official business registration number and/or tax registration number.
  • Business bank account proof
    A bank letter or statement in the business name.
  • One recommendation letter
    From an IATA airline, a GDS (e.g. Amadeus, Sabre), or a major travel industry supplier.
  • Travel-services licence (if applicable)
    Only needed if your country requires a licence to sell travel services.
  • Signed TIDS Terms & Conditions
    These are included in the application and must be accepted before submitting.
